How to book a private car in New York, step by step
Updated
Booking a car for the first time, the worry is usually the same: you fill in a form, nobody calls back, and you have no idea whether a car is actually coming.
The flow here is automated end to end — enter the addresses, see the price, pay, confirmed. Four steps, no manual review stage, nothing to wait on. Here is each step.
Step one: enter pickup and drop-off
Enter both addresses on the booking page, choosing the exact one from the dropdown suggestions. Picking the suggestion matters: a typed address can resolve to the centre of a block rather than your door, which shifts both the price and the timing slightly.
Airports are known addresses, so selecting one completes in a single step with no confirmation prompt.
If you do not yet have the exact unit number, a street or building-level address is enough to get a price; add the detail in the notes when you book.
Step two: choose your time
You can request a car as soon as possible, or schedule a specific date and time.
Booking further ahead leaves more choice of vehicle class. Demand clusters around university move-in, the days either side of public holidays, and bad weather, so allow extra time in those periods.
Late-night and early-morning flights can be booked like any other; there is no cut-off.
Step three: airport trips need a flight number
Airport bookings require a flight number and a direction — arrival or departure. If the direction is still undecided, you can book anyway.
The flight number is not a formality. We monitor the flight and, if it runs late, reschedule the driver against the actual landing time at no charge and with no rebooking on your part.
Without it, we can only dispatch against the time you typed — and if the flight slips, the car waits for nothing and the trip counts as a no-show. That is the practical reason the field exists.
Step four: payment and confirmation
The price is calculated as soon as your details are in. The total shown is the final amount payable and already includes every applicable tax.
Payment is by card online, in one go, with no deposit. The booking locks and confirms the moment payment succeeds, and a confirmation email and receipt are sent automatically.
There is no manual review stage — nothing is waiting on a person to reply.
Changing or cancelling afterwards
Once paid, the booking is locked: date, time, addresses, vehicle class and passenger count cannot be edited directly. Use a reschedule or a cancellation instead.
More than 48 hours before the ride you may reschedule once at no charge, to any time within 30 days of the original date. If the new trip prices higher, the difference is payable; if it prices lower, the difference is not refunded.
Cancellation runs off the ride time as well: more than 48 hours ahead is a full refund with no fee, under 48 hours is non-refundable.
Airport bookings affected by the flight itself are exempt from the 48-hour rule, as described in step three.
What we need from you on the day
Keep your phone reachable. Nearly every problem we see on the day comes down to not being able to reach the passenger.
If anything about the trip is unusual — a building with a restricted drop-off, a lot of luggage, someone who needs help getting in — put it in the booking notes. Written in advance beats explained on the kerb: the driver sees it before setting off.
Questions about this guide
How far ahead should I book? Can I get a car right now?
You can request a car as soon as possible or schedule a specific time. Booking ahead leaves more choice of vehicle; demand clusters around university move-in, holiday weekends and bad weather, so allow extra time then.
Is the booking confirmed once I pay, or does someone have to approve it?
It locks and confirms on payment. There is no manual review stage, and a confirmation email and receipt are sent automatically. Nothing is waiting on a person.
How do I pay, and is there a deposit?
By card online, in one payment, with no deposit. The total shown is the final amount payable and already includes every applicable tax.
Why is a flight number required for airport pickups?
We monitor the flight with it. If the aircraft is late we reschedule against the actual landing time at no charge and without you rebooking. Without a flight number we can only dispatch against the time you entered, and a delayed flight means the car waits for nothing — which counts as a no-show.
What if I need to change the time after booking?
More than 48 hours before the ride you can reschedule once at no charge, to any time within 30 days of the original date. A higher-priced new trip requires the difference; a cheaper one is not refunded. Airport bookings affected by the flight itself are exempt from the 48-hour rule.
Can I cancel, and how do refunds work?
More than 48 hours before the ride is a full refund with no fee; under 48 hours is non-refundable. Refunds always return to the card used, are initiated within 48 hours of approval, and then take whatever your bank requires — typically 5 to 10 business days.
Do you have English-speaking drivers?
Yes. Booking, confirmation and support are all in English, and you can write your notes in English. Put anything unusual about the trip into the booking notes so the driver sees it before setting off.
Enter your addresses and see the price
Transparent pricing — you see the final price before you pay, with no hidden fees. The system generates your quote as soon as your trip details are in, and your trip is confirmed automatically once you pay online.
